Viewpoint School is currently looking for an Events Coordinator. The Event Coordinator provides hands-on support to the Support Services and Event Planning departments. Works with the Support Services team to provide coordination, purchasing, and set-up/clean-up for a school event or assembly. Provide support services representation at Viewpoint School after hour events, ensuring that the needs and expectations of the school community regarding events and assemblies are met. Responsible for the maintenance, storage, purchasing/selling of Viewpoint Spirit Wear and the online website. A normal work day is 7:00am – 3:30pm but you must have a flexible schedule to work nights and weekends.

Basic functions:

  • Plans, coordinates and runs campus meetings, assemblies, and other events, which includes communications with faculty, staff, and parents, ordering food, gathering supplies, setup, and clean-up at the end of the event.
  • Serves as a support services liaison for some after-hours and weekend events, providing hands-on supervision and labor for event set-up, event work, and event clean-up.
  • Coordinates all elementary and middle school assemblies. This includes coordination with department leaders, the Department of Music faculty, and the operations team in multiple locations across campus. Responsibilities include coordinating, setting up each assembly, working with students and teachers during performances, helping with microphones, and cleaning up the assembly.
  • Serves as house director for elementary and middle school assemblies.
  • Working with the Director of Theater Operations assists in scheduling weekly meetings by working with music faculty and department directors.
  • Shopping for supplies (food, drinks, paper goods, etc.) for events as recommended.
  • Creates event work orders and invoices for campus activities.
  • Inspects all event setups on a routine basis for safety and ensures items are put away after each event.

Additional responsibilities:

  • Maintains inventory of Viewpoint logo apparel (spirit apparel) and school supplies, orders new items as needed, and provides merchandise for school-related functions.
  • Maintain and operate the Patriot online store, including website maintenance and processing of orders received.
  • Responsible for the Patriot Student Store on campus, including stocking school supplies, apparel, and updating point-of-sale system software.
  • Helping parents provide a hot lunch when volunteers are short.

Required experience, knowledge, skills and abilities:

  • Ability to evaluate tasks, take initiative, and be motivated to complete activities timely and accurately.
  • Proven experience in a customer service setting, with the ability to establish and maintain effective and professional working relationships with parents, faculty, staff and administration.
  • Experience in an event coordination role with the ability to work independently in a highly organized and proactive manner.
  • Ability to maintain efficiency, organization, and flexibility in a fast-paced, multi-tasking environment.
  • Able to work a flexible schedule with the ability to work early mornings, nights and weekends.
  • Proficient in Microsoft Word, Excel, PowerPoint, Publisher, Outlook, and Google Suite.
  • Ability to lift, push and pull 25 pounds.

compensation: $26-$28 per hour based on experience.
