Position Summary:
the Administrative Assistant Reports to the Director of Administration and provides comprehensive administrative and office support to employees and members of SEIU Healthcare Minnesota & Iowa and organizational sectors. This role is essential to ensuring smooth office operations and exceptional member service.
Key Responsibilities:
- Serve as receptionist at the front desk: answer phones and provide follow-up as needed.
- Greet and assist members, guests and visitors.
- Respond to member inquiries and direct requests to appropriate staff.
- Manage your copying, scanning and faxing needs.
- Assist in maintaining office equipment.
- Coordinating and scheduling meetings – sending notices, booking rooms, arranging catering and preparing materials.
Records management:
- Enter membership data accurately and on time.
- Maintain and update electronic and paper records.
- Preparing correspondence, forms, flyers and other materials.
- Support group messaging and communication efforts.
Office maintenance:
- Maintain a clean, professional and welcoming environment.
- Prepare conference rooms for meetings and maintain sign-in sheets.
- Assist with Executive Board meetings and member events.
- Monitor inventory and order supplies.
Other duties:
- Perform additional administrative tasks and projects as assigned.
Required knowledge, skills and abilities:
- Strong teamwork and collaboration skills.
- Excellent written and verbal communication abilities.
- Exceptional organizational and time management skills with attention to detail.
- Ability to handle multiple priorities and meet tight deadlines.
- Proficiency in Microsoft Office suite
- Strong problem solving and customer service orientation.
- Accurate record keeping and confidentiality skills.
Minimum qualifications:
- Administrative Degree or High School Diploma/GED with a minimum of three (3) years of administrative experience.
- Intermediate level proficiency with MS Office Suite.
- Proven customer service skills and professionalism.
Preferred qualifications:
- – Five (5) years of office, clerical or secretarial experience.
- Experience in database administration, running queries, and analyzing data.
- – Familiarity with union membership database systems.
- Ability to work independently and manage projects with minimal supervision.
- High level of professionalism and ability to maintain confidentiality.
Confidentiality:
- This position requires handling sensitive information related to employees, members and organizational operations.
Physical requirements:
- Work is performed in a general office environment. You must be able to:
- Sitting or standing for long periods of time.
- Use hands or fingers to write and enter data.
- Sometimes lifting up to 40 lbs. Frequently lifts or carries up to 5 pounds.
