Administrative Assistant (Intermediate)

This role requires an organized and resourceful individual who can manage multiple priorities, maintain confidentiality, and support cross-functional teams to ensure smooth and efficient office operations. The successful candidate will have a solid foundation in handling administrative duties accurately and efficiently, with strengths in financial coordination and internal and external communications. You will bring strong organizational skills, reliability and a collaborative approach to the team and will support day-to-day administrative tasks while assisting with basic financial processes such as tracking expenses and processing invoices. With clear communication skills and attention to detail, you will help keep office operations running smoothly, contributing to a more efficient and connected workplace.


Your main responsibilities k Administrative Assistant It will be:


Administrative support

  • Providing daily administrative support to departmental and leadership staff.
  • Scheduling meetings, preparing agendas, taking minutes, and following up on action items.
  • Manage calendars, travel arrangements and expense reports.
  • Assist in planning team building and other social gatherings.
  • Maintain office files, records, and documents accurately and confidentially.


Financial coordination

  • Assist with basic financial operations such as tracking expenses, processing invoices, and coordinating with the finance team to ensure timely reporting and documentation.
  • Assist with tracking budgets, preparing expense reports, and processing invoices.
  • Coordinate with the finance team for procurement, vendor payments and reconciliation.


Communications

  • Drafting, proofreading and distributing internal communications, reports, memos and newsletters.
  • Coordinate with marketing or communications to support internal and external messaging and branding.
  • Assist in managing social media and communication platforms.
  • Act as a point of contact for internal employees, customers and vendors, ensuring professional and timely responses.

Qualifications:

Education and experience

  • Post-secondary education with 5+ years of experience in a management role. Finance or communications support experience is an asset.


Technical skills

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • – Experience in financial systems, social media, and communication tools.


Soft skills

  • Strong written and verbal communication skills.
  • Excellent organizational and time management skills.
