Schedule Administrator at Mander Portman Woodward

We are looking for an accurate and analytical Timetable Officer to take responsibility for building and managing our college’s customized dynamic timetable.

This is a pivotal role in the academic operations of the college which is known for its individual approach to education, with each student following a tailored program of study. As such, the scheduling here is not just a logistical matter, it is personal and adaptable, and is at the heart of ensuring a smooth academic experience for both students and staff.

Experience with iSAMS, especially the academic management and timesheet modules, is preferred, but not essential. Candidates with experience in other MIS platforms who would like training on iSAMS are also encouraged to apply.

About the role:

Working closely with the Registrar and Deputy Head of Academics, the Timetable will be responsible for building and maintaining individual student timetables that reflect each student’s unique subject combination, learning needs and program of study.

In addition to creating and managing custom timesheets, the job holder will also:

  • Collect data to support college analysis and performance monitoring
  • Support the Registrar with census submissions and track academic progress

This role requires keen attention to detail, strong familiarity with systems, and a calm, solutions-focused approach to solving problems.

Key Responsibilities:

  • Design and manage customized academic schedules for individual students, adapting to changes throughout the school year
  • Enter and maintain scheduling data within iSAMS (or similar management information system), ensuring accuracy across subjects, staff and rooms
  • Collaborate with faculty and pastoral teams to ensure that students’ needs are fully reflected in their schedules
  • Resolve schedule conflicts and manage schedule modifications efficiently and carefully
  • Compile accurate academic data to support internal analysis, performance reports, and curriculum planning
  • Work closely with the Registrar to provide data for DfE and ISC censuses, monitor student attendance and progress, and ensure regulatory compliance
  • Produce and interpret data reports relating to curriculum delivery, student grouping, staffing and resource allocation

About you:

  • – Experience in preparing academic timetables, preferably at a college or university
  • Familiarity with MIS systems – iSAMS preferred, although training will be provided
  • Excellent data handling and Excel skills
  • Ability to think clearly and flexibly under pressure
  • Strong communication skills and collaborative working style
  • Appreciate the demands and rewards of working in a student-centered academic environment
