We are currently looking for a great executive assistant to work closely with our higher leadership and the executive teams here in the Clio. This first executive assistant will provide administrative assistance and operational support to the company. This role is dedicated to the direct individual who has a customer service mentality, administrative skills, coordination and exceptional communication.

A CLIO executive active works independently within a set of specific parameters. The guidance and striving are provided when facing the most complex situations and challenges. This role builds strong relationships between people with departments and other individuals throughout the organization. This person should be based on Vancouver or Toronto because this person will need to be 2-3 times a week.

What you will work on:

  • Contribute to planning, organizing and implementing private projects – including prominent international events and major organizational initiatives;
  • Supervision and management of tables, appointments and travel arrangements for the Supreme Command team;
  • Coordination of team events, support community building, and deal with logistical tasks, as required;
  • Meeting management and business schedules at the group level, record notes, and follow the work elements of the senior leadership team;
  • Review, direct and respond to incoming email correspondence and regulatory requests on behalf of the senior leadership team;
  • Organizing, tracking and reconciling financial affairs and professional expenses;
  • Coordination of communications and contact directly with external partners, sellers and clients;
  • Establishing and maintaining internal documents, knowledge management, and communications for the Executive Assistant team;
  • Maintain a high degree of confidence and integrity about protecting confidentiality as expectation;

  • 10+ Experience at work as an executive assistant or a busy record of success that provides administrative coordination in a professional environment;
