UTS – Temporary Program Assistant at NC State

The primary purpose of this role is to provide comprehensive programmatic, operational, and logistical support to department initiatives. This position plays a key role in coordinating events, managing communications, and maintaining organized systems that support departmental mission and strategic priorities. It serves as a point of contact for internal and external stakeholders, ensuring all programs and engagement run efficiently. The role also supports the day-to-day operations of the department, contributing to a collaborative and efficient work environment.
Key Responsibilities:
Support programs and events
  • Assist in planning and organizing workshops, meetings and other program-related events led by the leadership and research teams.
  • Coordinate event supply, printing and publishing requests. Materials.
  • Coordinate event logistics such as venue reservations, catering, equipment setup, and attendance registration.
  • Collaborate with presenters, suppliers, and campus partners to ensure events run smoothly and efficiently.
  • Collect, maintain, analyze and report data on program participation and outcomes.
  • Assist with note taking, group facilitation, and related AI functions as needed.
  • Administrative and operational support
  • Manage the organization and scheduling of program events, team meetings, and stakeholder engagement.
  • Manage correspondence, maintain organized records, and oversee program databases related to operations.
  • Provide support, including preparing and filing documents, greeting visitors, and answering center phones/voice mail.
  • Manage packages/deliveries, inventory and office supplies.
  • Work as a security liaison building officer.
  • Coordinate staff schedules and communications by maintaining work/weekend schedules and managing meeting room reservations.
  • Gain operational knowledge and the ability to articulate the purpose of the center, including its mission, services, and measures of effectiveness in order to adapt processes, procedures, and activities to meet needs.

Knowledge of the program – 20%
  • Knowledge of higher education and the antecedents that influence programs.
  • Operational knowledge and ability to articulate the purpose of the program organization including its mission, services, customers, and business effectiveness metrics in order to adapt processes, procedures, and activities to meet needs
Program management – 20%
  • Ability to carry out responsibilities under the supervision of the Program Director and Program Director, while maintaining accountability for assigned tasks within defined program areas.
  • Ability to make decisions on program expectations and direction to ensure program outcomes and adherence to timelines.
  • Ability to analyze and develop information to monitor and measure business processes that support Elevate’s mission
  • Skill in recognizing patterns and shifts within program operations, student services, and engagement efforts, and in providing actionable recommendations that enhance Elevate’s comprehensive, human-centered approach

Communication – 20%
  • Ability to advise and consult with clients to ensure accuracy of communication and understanding of the message.
  • Ability to place messages in the context of the organization’s broader business perspective.
Customer Service – 20%
  • Ability to participate and act in the best interests of the organization by aligning service delivery with strategic objectives and client needs.
  • Maintain professionalism in a student-centered environment, adhering to University guidelines and guidance provided by the Program Director and Director.
  • Knowledge of customers’ unique needs and ability to provide responsive services/answers tailored to their requirements.
Operational support – 20%
  • Ability to manage operational activity in the center with great attention to detail and time management skills.
