Description of the board
Washington Education Association (WEA) – UniServ Council of Eastern Washington is located at 230 E. Montgomery Street. In Spokane, Washington. The board is one of 21 in the state and serves approximately 4,500 public school employees who work in the state’s largest geographic area. The council includes eight counties bordering Canada to the north and Idaho to the east, as well as counties south and west of Spokane toward Pullman and Grand Coulee.

WEA-Eastern Washington employs three full-time UniServ managers and two assistant staff members. The council has a full-time council president who works with elected leaders within the district. The Council represents 58 affiliated local associations and two local associations at large.

Job Summary
the Second field assistant Provides clerical and administrative support to the Board and assists with field organization plans and activities, working in coordination with Governance staff and the Board to help build strength for WEA.

Responsibilities:

  • Compile, organize and maintain various databases, work files and survey data.
  • Produce reports and materials from computer logs and documents.
  • Maintain and regularly update the Council’s web page and calendars (e.g., building, office staff, governance, district).
  • Maintain and update contact information for local officials and council representatives.
  • Preparing, producing and maintaining all collective bargaining agreements in electronic and paper forms.
  • Coordinate and prepare mailings and printed materials in large quantities.
  • Create and distribute Council publications, including newsletters, voter guides, and flyers.
  • Set up council communications (e.g., email, mail, weekly local leaders newsletter, other group email communications).
  • Prepare membership packages and other member communications.
  • Assist in auditing and maintaining membership records.
  • Perform general filing and document management tasks.
  • Attending council meetings and events as needed.
  • Assist in coordinating, scheduling, and recording meetings, conferences, and other events.
  • Serves as the primary point of contact for general inquiries.
  • Prepare, maintain, and distribute documents, such as reports, meeting minutes, election materials, and event-related materials.
  • Manage local documents in line with established record retention practices.
  • Create and manage events using internal software.
  • Design and distribute event materials including flyers, invitations, meeting notices and reminders through electronic platforms.
  • Track RSVPs and manage catering orders.
  • Assist in preparing and cleaning the room for meetings and events.
  • Record clock hours using internal software.
  • Coordinating and preparing training courses on the PD (Professional Development) network.
  • Send evaluations and follow up communications after trainings.
  • Greeting visitors and directing incoming calls.
  • Provide assistance to members and staff, research questions and provide relevant information and materials.
  • Monitor and maintain inventory of office supplies, equipment, and building resources.
  • Coordinate construction facilities and office maintenance needs.
  • Collaborate effectively as part of a team.
  • Perform work-related tasks as needed.
  • Attend evening meetings and travel occasionally.
  • Other duties as assigned.

Minimum qualifications:

  • High school diploma or GED equivalent.
  • Proven experience as an administrative professional.
  • Demonstrated success in working with communities of color or other historically underrepresented groups and/or ability to understand and apply principles of diversity, equity, and inclusion internally and in public education.
  • Proficiency in PC-compatible software (e.g., Microsoft Word, Outlook, Excel, Publisher), including formatting and updating tables of contents, indexes, etc.
  • Experience using database software and ability to learn membership data systems (e.g., NEA360), create reports, and understand how data aids decision making.
  • Proficient in dealing with web pages and desktop publishing programs.
  • Strong writing skills, including word processing, filing, proofreading, document retrieval, spreadsheet creation, and call screening.
  • Ability to create documents and data quickly and accurately.
  • Skilled in composing, drafting, editing and proofreading texts and producing professional correspondence.
  • Strong interpersonal skills, including experience dealing with members.
  • Proven ability to build and maintain collaborative and productive relationships with diverse individuals, both internally and externally.
  • A self-starter with initiative and flexibility to adapt to changing priorities.
  • Well organized with attention to detail and strong prioritization skills.
  • Ability to maintain confidentiality of sensitive information.
  • Skilled in confronting and resolving conflicts constructively.
  • Ability to interact in a positive, diplomatic and patient manner.
  • Must support and help advance WEA’s mission, goals, core values ​​and priorities.
  • Experience with mass communication platforms, such as Constant Contact and Salsa.
  • Must be able to work in person at the WEA-Eastern Washington office in Spokane, Washington.

Preferred qualifications:

  • Demonstrated success in collaborating with employees and managers.
  • Strong multitasking and time management skills.
  • Experience in preparing and distributing correspondence, memos and forms.
  • Experience coordinating meetings, conferences and/or events.

  • Experience in public education, unions, or related fields.

Supervision
The successful incumbent will work as a member of the Center for Advocacy and Organization and will report to the Director or Field Director of Advocacy and Organization.
