Headquartered in Sacramento, California

position: Administrative Assistant

Employment history: as soon as possible

Salary range: Starting: $35.14 per hour; After one year: $43.92 per hour. Plus, a full fringe benefits package for employees: health, dental, and vision plans, 401(k) retirement programs, and pensions. This is a 35 hour per week hourly position.

location: Sacramento office

CFT is an affiliate of the AFT, AFL-CIO of California, and represents education professionals in public and private schools and colleges, from early childhood through higher education.

this Administrative Assistant The position will primarily support the Legislative Department and, on occasion, provide administrative support to other departments. Under the supervision of the Director of Administrative Services, performs routine administrative assistant duties and provides administrative assistance to the Legislative Department. Responsibilities and duties include writing, developing, and maintaining databases, and overseeing logistics for conferences, training courses, and other meetings. The individual may also establish routine correspondence, prepare reports, bulletins, materials, and statistical summaries, prepare meetings, take minutes, prepare mailings, and proofread copies, among other duties. The position requires interpersonal and organizational skills as well as knowledge of the legislative process.

Duties and responsibilities:

  • Works with management staff and legal counsel to collect and compile regulatory, administrative, and government reports and correspondence
  • Processes expense reports for department staff
  • Serves as a liaison with other CFT offices, members, external organizations and elected officials
  • Review forms and information submitted to the office to ensure their completeness, accuracy, and conformity with applicable policies, procedures, and practices
  • Resolves problems and handles non-routine inquiries related to assigned work
  • Maintains department calendar
  • Plan, organize, schedule and coordinate events/projects from inception to completion, including working with campaign committees and vendors providing services
  • Coordinates and composes the processing and/or production of documents according to established timelines
  • Prepares reports and composes letters, bulletins, memos, statistical summaries and other materials including, but not limited to, specialized reports.
  • Maintains records, files, and other confidential information
  • Researches candidate information to compile data and prepare reports
  • Coordinating travel for department staff
  • Committees associated with staff management as required
  • Performs other related duties as assigned

Qualifications:

  • Associate of Arts degree or equivalent in office administration, business administration, or related field, two years of full-time clerical experience applying policies and procedures related to budget, procurement, contracts, and scheduling, two years of experience working in a legislative or union office, or four years of experience in a similar position. College-level courses in office administration, business administration, or a related field are recommended.
  • Advanced skills in English, spelling, punctuation, grammar, vocabulary and proofreading
  • Ability to work effectively with staff, members and the public
  • Ability to communicate effectively orally and in writing.
  • Advanced computer operating skills, including the ability to use appropriate software.
  • Knowledge of the principles, procedures, and practices required for data collection, research, and reporting
  • Operational skills on basic office equipment
  • Report writing skills
  • Keyboard skill of at least 50 wpm
  • Ability to organize and schedule work, follow instructions, and coordinate major projects to completion
  • The interpersonal, problem-solving and organizational skills necessary to provide leadership and technical assistance to others
  • Learn about the structure and mission of the California Federation of Teachers
  • Ability to make non-routine decisions

Physical requirements:

  • The repetitive movements and constant standing associated with photographing, comparing and assembling materials for long periods of time
  • Extended typing routines for data entry
  • Sometimes driving/running errands

Essential duties:

  • Ability to coordinate and prioritize department workflow
  • Answers phones and takes messages
  • Operate contemporary office equipment
  • Types and prepares reports using word processing skills

The successful candidate will be required to join the Support Employees Union, OPEIU, after 30 days of employment, or pay a representation fee in lieu of membership. Proof of vaccination is required.
