Remote Business Center Specialist – (Remote) at Reed Smith LLP

Position Summary The Reed Smith Business Center is a 24/7 document production department. This position is responsible for the accurate completion of work submitted to the department from offices throughout the company. Responsibilities include a range of administrative support such as word processing, data entry, and other general clerical work. The basic functions listed below are not exhaustive and may be changed from time to time as necessary. Shift for this role is: 9:00 PM – 5:30 AM ET Tuesday, Wednesday, Thursday, Friday, Saturday Job Duties and Responsibilities Create and format documents from handwritten or marked documents, via pdf or audio format including, but not limited to, memos, letters, plans, check orders, briefs, pleadings, agreements, deeds, leases, plans Benefits and other documents. Create and format Excel spreadsheets, PowerPoint presentations, Table of Authorities (TOA) and Table of Contents (TOC). Review previously created documents, spreadsheets, and presentations. Accurate entry to enter the timer’s time into the accounting system as requested. Receiving and distributing electronic faxes. Database entry, editing, sorting, and reporting. Scan documents and save them to a digital file, as well as use Adobe Acrobat and other file formats such as tif, gif, and jpg. Linguistic checking. Update contact lists. Create e-books and guides using Adobe Acrobat. Copy digital dictation using various applications. The job duties and responsibilities listed are not exhaustive and may be supplemented as necessary. College or business school level classes preferred. Experience: 2 years of experience in Microsoft Word applications. Experience using Excel and PowerPoint is preferred. Knowledge of Mandarin, French and/or German is an added advantage. Skills: Please note: Selected candidates will be required to take online written tests for Microsoft Word, Microsoft Excel and Typing. Strong writing (80 wpm), formatting and proofreading skills, attention to detail, and ability to work independently. Excellent knowledge and use of Microsoft Office. Must be able to decode different handwriting styles. Requires a high level of concentration to work on long documents. – Demonstrated ability to produce an accurate work product and meet deadlines. Ability to understand and follow specific and detailed instructions. Other Supervisory Responsibilities: None Equipment Used: Personal computer and other office equipment such as telephone, calculator, fax machine, copier, scanner, etc. ESSENTIAL JOB FUNCTIONS: Ability to sit and/or stand for prolonged periods, extensive use of eye, finger, hand and wrist dexterity associated with prolonged computer use. Ability to utilize technology, including computers and communications devices. Ability to read and interpret written documents, computer screens, and other visual displays accurately. Ability to work long days and/or fixed vacations as required. Working conditions: Works remotely. You are sometimes called upon to work hours that exceed your normal daily schedule. Pay Ranges This represents the current lower and upper end of the Reed Smith salary range for this position. Actual pay may vary based on various factors, including but not limited to location and experience. This is a non-exempt position. The hourly pay range for this role in Pittsburgh is $19.00 – $24.50, and California offices is $24 – $32.
