FirstWorks Program Manager

FirstWorks is a Providence-based nonprofit arts organization dedicated to enhancing the cultural, educational, and economic vitality of our community by engaging audiences in Rhode Island’s world-class performing and educational arts programs.

The Program Director provides strategic and operational leadership for the development, sponsorship and production of the FirstWorks season, including PVDFest. The Program Director reports to the General Director and collaborates closely with the Executive Artistic Director, serving as producer and project manager for all public programming – shaping a season that is artistically ambitious, operationally sound, and rooted in community and collaboration.

This position requires a creative leader who can balance organizational vision with detailed implementation, ensuring programs foster dialogue, inclusivity and cross-sector partnerships.

This is a full-time position in Providence, Rhode Island currently operating under a hybrid model requiring in-office work 3 days per week, with additional evening and weekend times to support general programs.

Key responsibilities

Program development and processing

  • Partner with the Executive Artistic Director to research, identify and curate artists and projects that reflect FirstWorks’ mission and values.
  • Lead the planning and implementation of PVDFest, in coordination with the Providence Department of Arts, Culture and Tourism, production staff, artists and community partners.
  • Develop and maintain relationships with artists, agents, cultural organizations, local artists and local and international stakeholders to develop collaborative programmes.
  • Create programs that highlight local artists and partnerships with local community organizations.
  • Negotiating and implementing venue contracts and artist contracts
  • Manage all artist bookings and maintain a calendar for a year or two.
  • Track program budgets, monitor expenses, send invoices for payment, and archive files to track historical data and provide regular financial updates.
  • Provide content for grants, reports, and presentations to the Board of Directors.
  • Represent FirstWorks at various events, conferences, industry gatherings, etc.

Production and operations

  • Serve as producer of all FirstWorks events, from concept to financial settlement.
  • Lead technical and production meetings; Create detailed production schedules, show day run sheets, and progress sheets.
  • Securing venues and overseeing all production logistics, including technical riders, hospitality, transportation, permits, and front and back operations.
  • Manage on-site operations for PVDFest and seasonal events, ensuring safety, quality and exceptional audience experience.
  • Supervising production staff and technology crews; Supervision, training and seasonal assignments for PVDFest; Delegate tasks and monitor progress in Asana.

Marketing and development

  • Provides timely program and artist information to marketing and development teams for grants, sponsorships, press materials and promotional campaigns.
  • Collaborate with the Marketing Director to coordinate promotional appearances for artists.
  • Contribute to sponsorship proposals and attend sponsor meetings or community presentations as requested.
  • Maintain familiarity with FirstWorks’ strategic plan and actively participate in organizational planning and evaluation.

Qualifications

  • Bachelor’s degree or equivalent professional experience.
  • At least 5 years of progressively responsible experience in performing arts programming, production management, or festival/event leadership.
  • Knowledge of contemporary performing arts across multiple disciplines.
  • Proven experience negotiating and managing artist contracts, technology riders, and production budgets.
  • Excellent organizational skills, attention to detail, and ability to manage multiple complex projects to tight deadlines.
  • Superior written and verbal communication skills; Ability to represent FirstWorks to diverse partners and audiences.
  • Proficient in using Microsoft Outlook, Google Workspace, and Asana
  • Availability to work evenings and weekends as required by event schedules.
  • A valid driver’s license and reliable transportation.
