We are currently looking for an experienced Administrative Assistant to support the Executive Producer of Jeopardy! / President of Embassy Row Productions. We are looking for an individual with strong experience supporting a very busy C-level executive with calendar management, travel coordination and scheduling, handling all logistics of various meetings, and staying on top of T&E reimbursements. The ideal individual will be able to multi-task at the highest level, be able to pivot and be flexible as situations arise and change quickly, remain calm under pressure, be extremely detail-oriented, and most importantly, serve as an extension of the CEO to internal/external partners.

Responsibilities include, but are not limited to:
• Provide daily administrative support to the Executive Producer of Jeopardy!/Embassy Chief of Staff
• Coordinate and manage complex scheduling and calendar management
• Ensure all internal and external contacts are updated and maintained across all devices and communication methods of the CEO
• Distribute the daily schedule to the CEO and discuss any changes or notes for the day
• Stay on top of daily calendar activities and update items, in a timely manner, based on received emails, phone calls and direct feedback from the CEO
• Communicate with internal/external partners regarding executive schedule changes and coordinate accordingly
• Answer calls and monitor email accounts for incoming correspondence
• Scheduling and managing all logistics for internal and external meetings, including preparation of documents, presentations, and any technical needs
• Create, process and track expense reports and refunds
• Monitor pending approvals of expense reports, leave approvals, and travel requests from direct reports to the executive.
• Manage and coordinate all travel/entertainment arrangements
• Create and maintain shared documents and tracking for various teams and productions
• Completes assigned projects and tasks as assigned, including personal needs

Skill in:
• Excellent computer skills. Specifically Word, Excel and a working knowledge of PowerPoint
• Strong communication, interpersonal and organizational skills
• Must be able to troubleshoot problems proactively and resourceful
• Must be detail oriented and organized to perform efficiently

Ability to:
• Determine work priorities and requirements in advance and make timely decisions
• Demonstrated ability to work with all levels of management.
• Demonstrate initiative, professionalism and confidentiality

Salary/Benefits
$32.00 per hour
The expected base salary for this position is $32 per hour. This role may also be eligible for comprehensive incentives and/or benefits. The actual base salary offered will depend on a variety of factors, including, but not limited to, the individual applicant’s qualifications for the position, years of relevant experience, level of education achieved, other professional certifications or licenses, and, if applicable, location of the position.
