This is a full time job

The Administrative Assistant will be responsible for managing the schedules of the President of Television and VP of Development and liaising with UK based executives to run meetings. This role will be the point of contact for the Business Title Television Department in the US Business Title Office of the Global Group.

Duties will include but not limited to the following:

Calendar management and scheduling:
• Manage schedules of the President of Television and VP of Development
• Set meetings internally and externally, be it project specific or general meetings with writers/directors and general support to creative executives.
• Liaise with the UK executive offices and ensure that certain meetings/calls are added to their diaries and vice versa
• “Front of House” duties when welcoming people to teleconferences.
• Act as the first point of contact for the Business Address Development Department on calls and ensure that messages are passed on and handled professionally.
• Review US Executive Team notes daily and quickly prepare for the meeting (i.e. read/watch various materials)
• Recording minutes of internal department meetings and ensuring the implementation and follow-up of any tasks that arise.
• Liaise with Universal International Studios (UIS) regarding weekly and monthly meetings.

Submissions and creative materials
• Support the development team by managing the submission log.
• Covering materials and Cover writing When assigned, including writing summaries and providing informed comments.
• Organize materials to ensure TV and film development teams can access them remotely.
• Proofread new drafts as they come in and correct/edit any typos using the final draft.

General Supervisor/Creator:
• Where necessary, cover screenings/events and report in a timely manner, highlighting any film, television or theatrical news/reviews/general information that may be of interest and relevant to the wider film and television departments.
• Liaise with high-level talent to arrange national/international travel and accommodations
• Organizing the travel of executives when they go on business trips or to events and festivals, and to and from set visits/productions.
• Updating long lists of general writers and directors.
• Organizing and submitting executive expenses.
• Lunch and coffee are offered from time to time.

Qualifications

Basic requirements
• Minimum 2 years of experience as an assistant

Desired characteristics
• An individual who thrives in a busy and diverse creative environment
• Previous experience in an agency or buyer is a plus
• Demonstrate knowledge of established and emerging talent in the film and television industry
• Strong organizational skills, a ‘can do’ attitude and the ability to demonstrate confidentiality and good judgement
• High interest in film and television is expected but wider interest in the creative industry is welcome.

Additional requirements:
• ON-SITE REQUIRED: This position is required to perform full-time from a designated NBCUniversal work location.
• Salary range: $58,000 – $62,000 (not eligible for bonus)
