Tracheoesophageal Fistula Support (TOFS) is the only charity in the UK providing support and information to children with esophageal atresia and/or tracheoesophageal fistula (OA/TOF). These rare congenital conditions can have long-term consequences, and our mission is to inform and empower those affected to better equip them to live long, healthy lives. We’re not legally funded, and we’re very lucky to have a great fundraising community. This year so far, nearly 80% of our income has come from member fundraising, which is incredible.

We need an Office and Fundraising Administrator who will help make every supporter feel valued, and take overall responsibility for entering all financial data into QuickBooks. A key part of the role is liaising with fundraisers and managing and facilitating the fundraising process.

We are looking for an experienced individual, who can work with little supervision, and is able to manage the workload to meet reporting deadlines. Reporting to the CEO (and with significant interaction with the volunteer Treasurer), the Office and Fundraising Officer undertakes a range of administrative and financial tasks to support office administration, financial management and fundraising, and is one of the first points of contact for our supporters and members.

The role is pivotal in ensuring our administrative and fundraising functions run smoothly, supporting fundraisers, members, trustees and the team effectively.

Knowledge of QuickBooks or similar accounting software system is essential.

Depending on the experience and interest of the successful candidate, there may be opportunities to develop other skill sets.

Key areas of responsibility

  • Manage and organize detailed information that supports the financial management of TOFS
  • Contact fundraisers, manage and facilitate the fundraising process

What will you do:

Financial management:

  • Accurate recording of income and expenses
  • Timely reconciliation of bank accounts and preparation of basic financial reports
  • Preparing accountants for year-end accounts
  • Preparing annual aid claims for HMRC
  • Start paying via online bank accounts
  • Manage banking/savings relationships, maintaining effective access and reporting
  • Maintaining banking/savings mandates and ensuring record keeping remains clear, up to date and efficient
  • Contributing to the preparation of Board of Directors reports through accurate financial documentation and analysis

Fundraising/administrative support to members

  • Handle fundraising inquiries and information requests via phone, email and post
  • Maintain communication with fundraisers and organized fundraising documents
  • Thank donors, and create personal correspondence and other communications to support fundraising
  • Assist in member management, database updating, and reporting
  • Maintain inventory records for merchandise, consumables and office equipment
  • Handle daily postings and sending out store orders, support materials, fundraising materials and thank you letters
  • Support Charity Commission compliance requirements
  • Support TOFS events and supporter engagement opportunities
  • Carrying out administrative tasks and supporting the team

What we are looking for:

Basic experience/knowledge:

  • Experience and proficiency in using QuickBooks or similar accounting software systems such as Xero or Sage
  • Good understanding of basic accounting and bookkeeping
  • Hands-on experience in banking relationships, payment processing and billing management
  • Knowledge of CAF payment and banking systems
  • Efficient use of MS Office, and comfort with new fundraising platforms
  • Attention to detail and accuracy in data entry and record keeping
  • High level of organization and reliability
  • Experience providing administrative support as part of a busy team
  • An empathetic and enthusiastic communicator with a positive attitude
  • A fundraising mindset with the skills to recognize and encourage fundraisers
  • Ability to work independently and as part of a geographically dispersed team
  • A practical problem-solving approach to operational challenges
  • A trustworthy person who is able to work on his own initiative

Better yet, you should have the following experience/knowledge:

  • – Experience in charitable/non-profit financial management
  • Experience working in a small organization
  • Basic understanding of UK Charity Commission requirements
  • Empathy and understanding for those affected by rare diseases and, better yet, OA/TOF
  • Experience working with volunteers
  • Ability to look for opportunities for continuous improvement
