Insomniac – 2025 Seasonal Site Experience Production Coordinator
The role
The Site Experience Production Coordinator is responsible for ensuring the success of event production by coordinating the technical, personnel and organizational aspects of the Site Experience Department while supporting and coordinating with the Project Managers and Site Experience Director.
Responsibilities
• Assist Website Experience and Visual Communications department staff with job tasks as needed
• Maintain proper documentation of any drives, templates, SOPs, etc
• Establish and maintain inventory and maintenance record
• Distribute information to various stakeholders in a timely manner
• Partner with the project manager to include the appropriate number of employees while maintaining information databases
• Maintain regular communication with the management team
• Manage accommodations during travel through appropriate systems
• Accurately and timely enter all seasonal employee hours and respond to any payroll inquiries to ensure employee satisfaction
• Support in tracking expenses to show specified supplies according to company policy and project manager directives
• Annotate maps, drawings, and documents in accordance with established guidelines
• Advanced equipment, location needs and travel details for shows
• Facilitate safe and consistent operation and maintenance of all office and mobile equipment
• Attend production and operations meetings as assigned by the Department Head
• Assist with vendor onboarding and maintain accurate records
• Ensure that working conditions are safe and that employees follow company safety procedures
• Follow all safety, corporate and management policies
• Maintain a professional and supportive work environment while pursuing given work assignments
• Conduct daily tours of all areas under responsibility
• Research and secure sources for new projects
Qualifications
• Bachelor’s degree or trade school credential in related field preferred
• 2+ years music festivals and touring experience
• Proven ability to remain calm and professional in all situations
• A comprehensive understanding of the various aspects of festival production
• A valid and current driver’s license, US passport, and credit card for hotel expenses
• Proficient in MAC/PC
• OSHA 10 certification required
• Well versed in Microsoft Office Suite and Google Docs
• Ability to handle multiple projects simultaneously
• Ability to make clear and concise decisions. Sometimes with limited information
• Must possess superior interpersonal communication and organizational skills
• Position requires constant walking, climbing stairs and lifting up to 75 pounds
• Excellent communication and presentation skills with technical, non-technical and executive audiences
• Demonstrated ability to project a professional image by working consistently, being a team player and taking responsibility for personal actions
Work environment
• Must be able to withstand high noise levels and crowded environments
• May operate in extreme temperature climates
• Must be willing to work during evening and weekend hours and travel to work events, as required, to meet deadlines

Hiring Salary Range: $16.50 – $25.00
