Job announcement: Corporate Archives Secretary, Boston Public Library Risk Management Management System (RBMS).
Boston General Library (BPL) is looking for an archive secretary for a three -year grant for a three -year grant for scanning, inventory and managing institutional records related to the central BPL library in Copley Square. This position focuses exclusively on the historical BPL records and plans related to MCKIM and Boyston buildings that make up the central library. The archives will build a system to control and manage these records in order to support the planning and design phase of any file Next renewal Historical Makim Building. Overview of the position:
This three -year survey survey and inventory lists and provides access to the institutional records of the Boston General Library related to the Central Library in Copley Square, which extends through the National Historic National McCim building (1895) and the neighboring Builston Street building (1972). Groups include historical and contemporary architectural plans, building records, main plans, design specifications, correspondence, photographs, facilities and relevant systems documents. These groups include tens of thousands of elements in a wide range of formats and media types and dates back to the late nineteenth century to this day.
It works closely with appropriate employees throughout the library to understand the needs of using records, ensuring access to construction records used for BPL, and provides access to contemporary and historical records that support the planning and implementation of the next renewal in the central library. The arrangement, description and storage of construction records ensure the standards in force and best practices at an appropriate level of details and effort. It helps in developing the workflow of the library, access policies and procedures for treating institutional records.

Responsibilities:
- It works closely with operating employees, facilities and major projects to understand the needs of the environment records built through content and coordination and facilitate access to the central library plans, construction records and relevant documents.
- Conduct surveys, inventory lists and joint records related to the central library buildings; Arrange and describe the records; An archiving evaluation is applied to records based on expected use, records retention tables, and other factors.
- It develops and implements a plan to store and manage related construction plans and documents in a wide range of formats that facilitate access to materials and maintain them for long -term use.
- Knowledge is applied to current and emerging archive standards and descriptive systems (including DACS and EAD, power control standards) and record management practices to develop records maintenance plan and access to BPL institutional records related to the built environment. He cooperates with research employees and private groups, especially with the Archives Department, to ensure the compatibility of record supervision work with local practices for archive and records management.
- He answers reference questions and supports research and the arrival of BPL employees and stakeholders in the project to BPL institutional records related to the Central Library.
- It helps in training BPL employees at all levels in reaching institutional records and maintaining them related to the built environment, building, maintenance and renewal. It works closely with the appropriate employees to determine access priorities and cancel access and processing for BPL engineering plans and relevant materials and tracking and reporting progress.
- Provides and provides briefing and shares information with BPL employees and project partners to enhance knowledge and use the institutional records of the library.
- Documenting activities, submitting oral offers, and preparing written interim reports regarding the project status.

The minimum admission qualifications:
- education – Bachelor’s degree from a recognized college or university. Master’s degree in library science and information is required with official training or professional experience in the theory and practice of the archive. Related knowledge of the subject and/or specialized training. In exceptional cases, specialized education,/training and/or experience may be replaced by part of or all educational requirements.
- expertise – Four (4) years of professional experience in the treatment of archive and description in a museum, library or other similar institution required. Objective knowledge of architecture and construction arts is very desirable.
- A skill installed in the arrangement and description of large and small archive groups both at different levels of details, evaluating and identifying appropriate levels of treatment based on the value of the research, condition and other factors, while preferring experience in dealing with corporate archives or institutions.
- Show knowledge of the theory and practice of the archive; Comprehensive knowledge of the descriptive standards of archive and manuscripts, especially DACS and EAD, and familiarity with other relevant standards.
- – Knowledge of the practices and models of the record management, with the preference of experience installed in the management of the records and the arrangement and description of architectural records.
- Experience installed in the conservation management and basic collection of the archive.

Work environment: Most duties are performed in different chimneys environments with artificial light and a variety of temperature and humidity controls. The noise level varies according to the storage site. The work environment may include exposure to dust, mold,/other organic matter or other irritating materials inherent in historical groups.
