You may actually know the technical skills that you will need to be a wonderful business analyst (BA), but do you know the basic soft skills? The role of the Bachelor’s degree is deeply rooted in working with people. You will often coordinate with stakeholders, operate workshops, or provide documents for the teams. For a successful Bachelor’s degree, you will need the following soft skills to complete technical skills.
Relationship building
You will need to build a relationship with stakeholders early in the project that you can do in several ways. While waiting for a meeting to ask the questions of stakeholders such as, “How does your day go?” “What do you do on the weekend?” I was in meetings where everyone is silent until the workshop begins. Take advantage of this time to build a relationship by finding common interests, or showing sympathy or completing something like a tie, or an image in the background or speed of zoom. This may seem trivial, but it will work for you with the project. The stakeholders are likely to attend meetings/workshops, feel more comfortable to contribute and start arranging the project and the changes you make within the institution.

Oxford dictionary defines sympathy as “the ability to understand and share other feelings.” This is an important soft skill for a Bachelor’s degree because we need to put ourselves in our stakeholders’ shoes to understand the problems we are trying to solve. The sympathy means understanding the pain points within the current state of organizations, which is necessary when we try to fix them. Try to imagine how frustrated that you should feel old, and a manual process of work when the technology we use at home is very advanced these days. Use sympathy to talk to these pain points, get the purchase of stakeholders and pay the user’s dependence.

Depending on the scale of stakeholders in your project, a lot of workshops and meetings may attend, so it is important to be enthusiastic and positive about what you are doing. To be honest, there is nothing worse than a boring or dry workshop consisting of people who talk to you with slices of written content. To carry people to come on the journey we need to involve them and enthusiasm for what we do. Speak positively about the benefits and results of your project, show visual graphs and ask questions to involve people. Getting a positive and bright behavior will choose people when they deal with you, help them focus on the content and be more likely to contribute.
Active listening
When we work on the current state or create things like user trips, user characters, cases, or processing, the main soft skill that you will need is active listening. Active listening is a pattern of listening and this means listening to verbal and non -verbal signals without judgment or jumping on conclusions. When you are active, do not think about what you say after that, you are completely focused on the person who continues. Do not boycott them or suggest solutions at this stage, instead, prepare and reflect what you heard to the person. This will ensure that nothing will be missed, do not offend the interpretation of anything and help you understand the paint points that users suffer from in more depth.
creativity
When making changes to the organization such as operations, we need to find solutions that work for everyone. For this, we will need to think outside the box because we may not be able to meet everyone’s needs, or some people may hate changes. To facilitate the transition, we can use creative perceptions to make everyone on the trip; Miro, Figma and Visio are great tools for creating visual charts. You can play a role during workshops, online or personally to determine new practical steps. Be creative and use your imagination to make it enjoyable and involved for stakeholders.

The ability to adapt
As a Bachelor’s degree, you may find yourself in new projects for new companies often and each situation will be unique. You will need to evaluate the unique culture of each company and methods of work and the environment. Some companies may be very official and very controlled while others may be accidental and more flexible in their approach. To be successful in all these environments, you must be able to adapt, and this means finding the correct language, terms, speed, document structure and hierarchical sequence. I recently worked on a project for a very successful company that still has a startup mentality. They adopted graceful ways to work and fear of taking their independence, because of this, the word “judgment” was an operator for many employees. We had to adapt our language to suit the customer and instead of “governance”, we used “instructions”. Be adaptive and understanding the culture in which you work, do not work against it, and work with it.
communication
Obvious and brief communication is important to be successful as Ba. When working with people, things can be lost in translation, as they are our functions as BAS to ensure that they are not lost! Be ready to speak and ask for more details if you do not understand anything or when you notice that others do not understand it either. Sometimes, you may need to control the pace of the discussion, or to accelerate it to keep people participating or slow down if it moves very quickly. There are times when you will need to reformulate what someone said to connect them more effectively to the wider audience. You can use terms such as “What I hear is …” or “to put this other way …”. The use of your communication skills will ensure that you remain workshops and meetings on the topic and will get what you need from them.
patience
You may find yourself in a position in which you already know the journey forward for stakeholders for example, the company is implementing a solution outside the box. You will need patience to assess their current condition to find gaps and bring stakeholders on the trip so that they can excite about their technology and new processes, although you already know the result. Another example of the use of patience is in the workshops where the various participants repeat the information for you, you need to listen to an activity in order to feel hearing, but it may be a little boring for you. Finally, everyone who faces it will not be a wonderful communication, some people speak for a long time, and some people are separated from the topic, and it is difficult to understand some people, and you have to listen to the stakeholders those who try to communicate ineffective and decipher what they say, and this takes patience.

Improvisation
You will find yourself in meetings with technical persons, non -technical people and people from all different work units. The analogues are a great way to explain the complex strategies or technology of people who do not understand what you are talking about. If someone does not understand anything great to describe them in terms of they can understand it, the use of analogues may be. You can improvise and tell them about “once I went to the supermarket and in the exit this happened … which is like this technology system …”. It will improve at this time over time and understand what is suitable for stakeholders from different business units.
Struggle
Our stakeholders often differ on things like the current state or how the future situation should be. We need to manage both views and bring the team to consensus wherever it is possible. The consensus may not be possible in all situations, but we still need to deal with conversations constructively so that everyone agrees on the following steps. Some indicators of conflict decisions
- Remove anger and facilitate communication
- Separate people from problems
- Listen first, the second happens
- Define
- Explore the options together
Using these tips, we can find a way to move forward together and keep the project on the right track.
People and tools (PPT framework) is a great way to deal with IT changes within the organization. I think the most important aspect of this framework is people because technology and processes are not good if people do not use it within the organization. You can use these soft skills as BA when involved people to ensure the adoption of organizational changes and in turn, you will also be successful.
